Build a Race Registration in the Online "Club" Registration System

We are now encouraging all clubs to set up their registrations in the online registration editor, instead of in the race timing application. This system was previously referred to as the "club registration system" and many of you will be already familiar with it as it is where your club membership is set up and managed from. Full documentation of this system is available here, this document is meant to serve as a quick reference for users already familiar with the race timing system.

  1. Getting Started

    create a new registration, either a blank registration or using one of our many pre-defined templates

  2. Fill in the basic information for your event on the main settings page. Most of the options in here are pretty self-explanatory, you'll want to use the "cap registration at set # of individuals" if you have a maximum number of competitors in your race. You can use the Price 2 start date and Price 3 start date to manage early bird and late registration pricing.

  3. Fields

    For most races, you will not want to have any fields in the Cart Fields section. If your race has a family rate, you could enter it as a cart level field. Individual Fields should be the bulk of your registration. Add fields for first name, last name, DOB, Gender, contact info, club, team, licencing, and any other information you would like to collect from racers. Fees for Banquet tickets can be added here as well, using any of the Fee Option types.

  4. Categories

    Your race categories should be added as either a "single-choice fee group" or a "single choice option group" individual field. Place all your categories in one option group field. If you have multiple days of racing you should put one option group for each day. You can use the "limit gender" and "limit age" to make only the categories a person is allowed to enter into show up. If your race has parent categories and sub categories, you will want to enter each sub category as a separate option in your category list. Parent categories will need to be configured after you download the race file.

  5. Downloading a Race File

    Different from registrations set up in the race timing system, the race file for registrations set up online does not exist until registration is closed. once everybody has registered, you can click the 'race' link on the main list of registrations, and then select which single choice option group in your registration represents the categories. This will generate and download a new race file containing all the registrants in your race.

  6. Managing Racer information

    All racer information can be edited in the online admin panel under the individuals or carts tabs. Registrants can be added by the administrator using the "add registrations" tab. All these changes will be visible immediately on the confirmation list. Once the race file is downloaded using the process described above, all changes must be made in the race timing program - changes made online cannot be downloaded to an existing race file, only to a new race file.
